Carefully read the information below as it applies to all presenters and participants of GeoMod 2021

1. Agreement for copyright transfer of abstracts

The undersigned participant at the GeoMod 2021 conference hereby assigns Utrecht University all rights under copyright that may exist in and to the above work and abstract including the rights to use, distribute, publish, record, broadcast, reproduce and archive the work online and offline.

The undersigned participant warrants that the work is original and that he / she is the author of the work. The undersigned has obtained all necessary permissions to grant the license above.

Furthermore, the undersigned grants Utrecht University the permission to use, distribute, publish, record, broadcast, reproduce and archive, his / her abstract at the conference in any format or medium.
The Utrecht University regulations concerning General Data Protection Regulation (GDPR) can be found here.

The author agrees that a DOI number (Digital Object Identifier System number) may be assigned to his / her abstract.
The undersigned participant confirms that he / she has the power and authority to make and execute this form. For jointly authored works the signing author signs as authorized agent for the others.

2. Copyright for presentation

Presentation means any form of oral and poster communication, either by live streaming or uploaded in advance and any eventual associated presentation materials transferred via the Geomod 2021 conference facilities, except the Geomod 2021 abstract.

The following licence and copyright agreement is valid for any Geomod 2021 abstract and presentation.

By submitting an abstract and performing a presentation in the format specified by Geomod 2021, the authors certify that they have read and agreed to the following terms:

• The authors are authorized by their co-authors to enter into these arrangements.
• The publication of the abstract and the presentation has been approved by all the author(s) and by the responsible authorities – tacitly or explicitly – of the institutes where the work has been carried out, and that neither the abstract nor the presentation infringe copyright or any other rights by third parties.
• The work does not contain content that is unlawful, abusive, or constitute a breach of contract or of confidence or of commitment given to secrecy.
• The authors warrant that they secure the right to reproduce any material that has already been published or copyrighted elsewhere and that they identified such objects with appropriate citations and copyright statements, if applicable, in captions or even within the objects themselves (e.g. copyrights of maps).

• Utrecht University has the unlimited right of use for all abstracts as specified in the Agreement for copyright transfer of abstracts;

The authors must choose at least one of the following situations that are explicitly mentioned on their presentation:

• The author(s) and his/her/their institutions retain(s) copyright of his/her/ their presentation(s). This option must be mentioned (for instance as “©Authors”) on the presentation;
• When the copyright does not belong to author or Utrecht University, but a third party, this copyright must be clearly mentioned on presentation materials. Authors must have prior permission to present any materials where the copyright is hold by a third party. Utrecht University does not assume any responsibility for the usage of any such third-party copyright.
• The abstract and its presentation are distributed under the Creative Commons Attribution 4.0 International License (CC BY 4.0). The CCL logomust be visible on the relevant presentation.

The organisers will record ONLY the keynote presentations of the GEOMOD 2021 plenary sessions distributed under under the Creative Commons Attribution 4.0 International License (CC BY 4.0) to be available for the participants ONLY during the conference via the conference Hopin platform. NO recording will be performed by organisers in other events of the GEOMOD 2021 conferece. Important: We strongly ask all participants to refrain recording presentations by using other independent means.

under the following conditions:

•  Attribution — You must give appropriate credit, provide a link to the licence, and indicate if changes were made. You may do so in any reasonable manner, but not in any way that suggests the licenser endorses you or your use.

Notes:

Notes on copyright transfer

Many authors have strict regulations in their contract of employment regarding their works. A transfer of copyright to the institution or company is usual, as well as the reservation of specific usage rights, is typical. Please note that in the case of abstract or presentation with the Creative Commons License, a transfer of the copyright to the institution is possible, as it belongs to the author anyway.

Any usage rights are regulated through the Creative Commons License. Anyone (the author, his/her institution/company, the Utrecht University, as well as the public) is free to copy, distribute, transmit, and adapt the work as long as the original author is given credit (see above). Therefore, specific usage rights cannot be reserved by the author or his/her institution/company, and the publisher cannot include a statement “all rights reserved” in any published abstract.

A copyright transfer from the author to his/her institution/company will be expressed in a special “Copyright Statement” at the end of the abstract rather than in the abstract citation header. Authors are asked to include the following sentence: “The author’s copyright for this abstract is transferred to institution/company”.

Crown copyright
This licence and copyright agreement respects the Crown copyright. For works written by authors affiliated to the British Government and its institutions a copyright statement will be included at the end of the abstract and in the presentation. Authors are asked to use the following statement, which has been approved by the Information Policy department of The National Archives:
This work is distributed under the Creative Commons Attribution 4.0 License. This licence does not affect the Crown copyright work, which is re-usable under the Open Government Licence (OGL). The Creative Commons Attribution 4.0 License and the OGL are interoperable and do not conflict with, reduce or limit each other.
